💡Floor space and the stand itself are separate purchases. Organisers sell the square metres, a stand builder sells the structure, and the venue sells power, rigging and internet. Budgets that only count the stand build routinely come in 40 percent light.

💡A custom stand is a capital item that can be reused across several shows. Amortising the build across three or four events is usually the only way custom pricing beats hire pricing.

💰 Ways to save
  • Build the budget from the four separate purchases rather than one number: floor space from the organiser, the stand structure from a builder, venue services such as power and rigging, and your own travel, freight and staffing. Budgets built off a stand quote alone routinely land 30 to 40 percent under the real spend, and the overrun always appears in the last fortnight when there is no time to negotiate.
  • Hire a modular system for your first two shows before committing to a custom build. A custom stand only makes financial sense if you amortise it across three or four events, and until you have exhibited a couple of times you will not know what layout, storage and demo space you actually need. Plenty of expensive custom stands get rebuilt after one outing because the traffic flow was wrong.
  • Order every venue service before the early deadline. Australian convention centres and their nominated contractors commonly apply late-order surcharges of 25 to 50 percent on power, internet, rigging and furniture, and on-site orders during build-up are the dearest of all. A single forgotten power drop ordered on the day can cost triple the advance rate.
  • Design the graphics so the printed panels can be reprinted without rebuilding the frame. Reusing a modular or custom frame across shows while replacing only the printed skins is the single biggest recurring saving in exhibiting, often cutting the second and third show cost by 40 to 60 percent against a fresh build each time.

Understanding trade show stand costs in Australia

What a trade show stand costs in Australia in 2026

Exhibition stand budgets in Australia in 2026 span an enormous range because the term covers a pull-up banner in a shell scheme and a double-storey custom build. A basic 3m by 2m shell scheme with pull-up banners and a table can be done for $1,500 to $3,500 all in. A 3m by 3m stand with a hired modular system and printed graphics runs $4,000 to $8,000. A 6m by 3m stand with a decent modular build, lighting, flooring and a screen lands at $10,000 to $20,000. A 6m by 6m island with a custom build is $30,000 to $60,000, and a double-storey custom stand at a major show can pass $100,000 once engineering, rigging and build labour are counted. Those figures exclude the floor space itself.

The four separate purchases nobody budgets for together

The most common budgeting failure in exhibiting is treating the stand quote as the budget. There are four distinct purchases. Floor space is bought from the organiser, typically $400 to $900 per square metre in Australia depending on the show, with island and corner positions charged at a premium. The stand structure is bought from a stand builder or hire company. Venue services such as electrical connection, rigging, internet and cleaning are bought from the venue or its nominated contractors at their rates. And then there is your own cost: freight, install and dismantle labour, travel, accommodation, staffing and giveaways. A stand-only budget routinely comes in 30 to 40 percent under the real number, and the shortfall always shows up in the final fortnight.

Shell scheme, modular and custom compared

A shell scheme is the basic booth the organiser provides, usually walls, a fascia name board and sometimes a light and a power point. Dressing it with pull-up banners and a counter is the cheapest way to exhibit and is entirely appropriate for a first outing or a small show. A hired modular system uses reusable aluminium framing with printed fabric or panel graphics, gives a far more finished look, and is charged per show as a hire with the graphics as the only item you own. A custom build is designed and constructed for you, gives complete control over layout, storage, demo space and brand presence, and becomes a capital asset you store between shows. The economics only favour custom if you exhibit at three or four shows across its life, which is why plenty of businesses hire modular for two years before committing.

Venue services and the rigging trap

Venue services are where Australian exhibitors most often get caught. Electrical connection is not included with floor space and is ordered separately, commonly $400 to $1,500 depending on the load. Internet, if you need something reliable rather than the venue wifi, is a separate order again. Rigging is the big one: anything suspended from the ceiling, including a simple hanging banner over your stand, must be installed by the venue's nominated rigging contractor at their rates, and once rigging labour, points and certification are counted a hanging sign commonly lands at $1,800 to $3,500. Late orders on any of these attract surcharges of 25 to 50 percent, and orders placed on site during build-up are dearer again. Ordering everything before the advance deadline is one of the few pure savings available in exhibiting.

Freight, install and the people cost

Getting the stand there and standing it up is a real line. Interstate freight for a modular stand is commonly $800 to $2,500 each way depending on volume, and custom stands travelling in crates cost considerably more. Install and dismantle labour at major Australian venues is often restricted to accredited contractors and is charged at day rates with penalty rates outside normal hours, and build-up schedules frequently require overnight or early morning work. Then there is staffing: two people on a stand for a three day show, flown interstate and accommodated, is $3,000 to $6,000 before anyone has spoken to a prospect. For most exhibitors, people and logistics together are 25 to 40 percent of the total show cost.

Getting a return rather than just a presence

The number that actually matters is cost per qualified lead, and it is worth calculating before you commit rather than after. A $25,000 all-in show cost that produces 100 genuinely qualified conversations is $250 a lead, which for a business with a $20,000 average contract value is excellent, and for one selling a $500 product is a disaster. Lead capture scanners hired from the organiser, commonly $400 to $900, are usually worth it purely because they force the discipline of recording conversations. Booking a stand position near a main entrance, a catering point or a keynote theatre costs more per square metre but reliably changes traffic volume. And the follow-up plan matters more than the stand: leads that sit uncontacted for two weeks after a show convert at a fraction of the rate of those contacted within 48 hours.

Building a realistic exhibition budget

Work in this order. Choose the show and get the per square metre rate and the position map. Decide your floor area based on how many simultaneous conversations you need to host, roughly 3 to 4 square metres per staff member plus demo and storage space. Get two or three stand quotes for the same brief, hire and custom, and ask each to price the graphics separately so you can see the reusable portion. Add venue services from the organiser's exhibitor manual at advance-order rates. Add freight, labour, travel and staffing. Then add 10 to 15 percent contingency, because something is always ordered late. Use the estimator above to bracket the stand and services portion, and treat that as roughly 55 to 70 percent of your true all-in show cost.

Frequently asked questions

How much does a trade show stand cost in Australia in 2026?

A shell scheme with pull-up banners is $1,500 to $3,500. A 3m by 3m modular stand with graphics is $4,000 to $8,000. A 6m by 3m stand with lighting, flooring and a screen is $10,000 to $20,000. A 6m by 6m custom island is $30,000 to $60,000, and double-storey builds can pass $100,000. Floor space is charged separately.

How much does exhibition floor space cost?

Typically $400 to $900 per square metre in Australia depending on the show, with island and corner positions charged at a premium. Floor space is bought from the organiser and is entirely separate from the stand build, venue services and your own freight and staffing.

Why is rigging so expensive?

Anything suspended from the ceiling must be installed by the venue's nominated rigging contractor at their rates, not a rate you can negotiate. Once rigging labour, hanging points and certification are counted, a simple hanging sign commonly lands at $1,800 to $3,500.

Is a custom stand cheaper than hiring?

Only if you amortise it across three or four shows. A custom build is a capital asset you store and reuse, while modular hire is charged per show with graphics as the only item you own. Most businesses hire modular for their first two shows before committing to custom.

What costs do first-time exhibitors forget?

Venue services such as electrical connection at $400 to $1,500, internet, rigging, and cleaning are all ordered separately from the stand. So are freight at $800 to $2,500 each way interstate, accredited install labour, and staffing at $3,000 to $6,000 for two people at a three day interstate show.

How can I reduce trade show stand costs?

Order all venue services before the advance deadline, because late orders attract 25 to 50 percent surcharges. Design graphics as replaceable printed skins on a reusable frame, which commonly cuts second and third show costs by 40 to 60 percent. And hire modular before committing capital to a custom build.
